Inventory & Stock
Manage raw materials, stock movements, purchase orders, stock alerts, suppliers, and labels
Inventory
Navigate to: Dashboard → Inventory
Manages raw materials and ingredients (not finished food products — those are in Settings → Products).
Viewing Stock Levels
The main inventory tab shows all items with current stock on hand, unit of measure, reorder point, and status indicator.
Adding a Stock Movement
- Click Add Movement
- Select the item
- Choose movement type:
- Received — new stock delivered from supplier
- Used — consumed in cooking/production
- Wasted — spoiled or thrown out
- Adjustment — manual correction to match physical count
- Enter the quantity and a note/reason
- Click Save
Stock Ledger
Click any inventory item to see its full ledger — a history of every movement with timestamps and the person who recorded it.
Stock Counts
Tab: Stock Counts
Used for physical counts (counting actual stock on hand):
- Click New Count
- Select the items to count
- Enter the physical quantity for each item
- Submit — the system records the variance between expected and actual
Purchase Orders
Tab: Purchase Orders
- Click New Purchase Order
- Select the supplier
- Add items and quantities needed
- Save as Draft or set to Ordered (sent to supplier)
- When goods arrive, click Receive on the order to update inventory
Goods Receipts
Tab: Goods Receipts
When a purchase order arrives, create a goods receipt to update stock:
- Open the purchase order and click Receive
- Enter the actual quantities received (may differ from ordered)
- Note any damaged or short items
- Click Confirm Receipt to update inventory levels
- The receipt records who received it and the timestamp
Waste Log
Tab: Waste Log
Track spoilage, breakage, and waste:
- Click Log Waste
- Select the product, quantity, and reason (Expired, Damaged, Overproduction, etc.)
- The estimated cost is calculated automatically from the item's cost price
- Edit or delete waste entries if logged incorrectly
- View waste summary by department to spot patterns
Recipes & Components
Products with recipes (e.g., a meal deal) have their components listed under Settings → Products → Components. When these products are sold, production tracking automatically deducts the component quantities from inventory.
Transfers
Tab: Transfers
Move stock between locations:
- Click New Transfer
- Select: From Location → To Location
- Add items and quantities
- Submit
Stock Alerts
Navigate to: Dashboard → Stock Alerts
You will see a number badge on this menu item in the sidebar when there are unacknowledged alerts.
When an inventory item falls to or below its reorder point, an alert is automatically generated.
Viewing & Acknowledging Alerts
Alerts show the item name, current stock level, reorder point, and alert type (Low Stock or Out of Stock).
- Use the filter to toggle between All and Unacknowledged alerts
- Click Acknowledge to mark an alert as seen/handled — this removes the sidebar badge
Auto-Generate Purchase Order
For items with a preferred supplier set, click Auto PO to automatically create a purchase order.
Suppliers
Navigate to: Dashboard → Suppliers
The full vendor list from Bettencourt's Vendor Register is pre-loaded (67 suppliers), including Alabama Trading, Ansa McAl, Bank DIH Ltd, Royal Chicken-Mohamed Farms, Namilco, GPL, GT&T, GWI, NIS, GRA, and all others.
Adding a Supplier
- Click New Supplier
- Enter: Name, Contact Person, Phone, Email, Address
- Assign categories (Food & Beverage, Utilities, Cleaning Supplies, etc.) — these power the supplier filter cards on the Expenses page
- Click Save
Editing a Supplier
Click a supplier's name in the list to edit any detail (phone, address, contact person, categories).
How Suppliers Connect to the Rest of the System
- Purchase Orders — select supplier when creating a PO; their details pre-fill
- Inventory Items — each item can have a preferred supplier for Auto PO generation
- Expenses — top supplier cards on the Expenses page filter entries by supplier
- Stock Alerts — Auto PO uses the item's preferred supplier automatically
Labels
Navigate to: Dashboard → Labels
Print price labels or shelf labels for products.
- Search for or select products to label
- Choose a label format (price tag, shelf label, etc.)
- Click Print Labels
