Backup & Restore

Manage database backups, download snapshots, and restore data when needed

Navigate to: Dashboard → System → Backup

Backup management requires Admin or Executive role.

Bettencourt POS automatically backs up your data every night at midnight (Guyana time). You can also create manual backups at any time and restore from any saved snapshot.


Backup Status

The status card at the top shows:

  • Health indicator (green/yellow/red dot):
    • Green — last backup is less than 25 hours old (healthy)
    • Yellow — last backup is 25 to 48 hours old (attention needed)
    • Red — no backups or last backup is older than 48 hours (action required)
  • Last backup timestamp
  • Next scheduled backup — midnight tonight (Guyana time)

Creating a Manual Backup

  1. Click Backup Now
  2. Wait for the backup to complete (usually a few seconds)
  3. The new backup appears in the history table

Create a manual backup before making major changes such as bulk product updates, price changes, or data imports.


Backup History

The history table shows all available backups with:

ContentsSummary of records (e.g., "342 orders, 89 products, 45 customers")

Up to 7 regular backups are kept (oldest are automatically removed). Pre-restore snapshots are kept until manually removed.


Downloading a Backup

Click the Download button on any backup row to save the .json.gz file to your computer. Keep downloaded backups in a safe location as an additional off-site copy.


Restoring from a Backup

Restoring a backup replaces all current data with the backup contents. This action cannot be undone (though a pre-restore snapshot is saved automatically).

Restore from History

  1. Click Restore on the desired backup row
  2. Review the confirmation dialog (shows backup date and contents summary)
  3. Click Yes, Restore
  4. Wait for the restore to complete
  5. Refresh your browser when prompted

Restore from File

If you have a previously downloaded .json.gz backup file:

  1. Scroll to Restore from File
  2. Click Choose File and select your .json.gz backup
  3. Click Restore from File
  4. Confirm in the dialog
  5. Refresh your browser when prompted

In both cases, a pre-restore snapshot of your current data is created automatically before the restore begins, so you can roll back if needed.


Best Practices

  • Verify the health indicator is green each morning
  • Download a backup before any major data changes
  • Keep at least one recent backup downloaded to an external location (USB drive or cloud storage)
  • After restoring, verify key data (recent orders, customer records, inventory levels) to confirm the restore was successful
